Leave Request Forms

Apply, approve, visualise, and manage all employee leave easily using Engin.

Company

Cook Costello is a multidisciplinary engineering company with over 40 years of market standing. Cook Costello have offices based in Auckland, Christchurch, Wellington & Whangarei.

Challenge

Cook Costello required a means to manage their staff's leave across all their offices, to ensure leave was appropriately managed and their business was sufficiently staffed to serve their clients. Cook Costello's payroll staff also needed to be able to monitor paid and unpaid leave taken by staff members.

Solution

Engin built a customised Form, Workflow, Reports and Schedules to address Cook Costello's issue of managing annual leave.

Forms

Cook Costello's employees utilise a Leave Request form to submit Leave Request Applications. HR managers can review the application and either approve or decline the request.

Workflow

Once a leave application has been submitted, the HR manager of the applicant's base office location is notified immediately of the application. Once a decision has been made to either approve or decline the application, the applicant will be immediately notified via email of the decision.

Reports

Cook Costello managers utilise a number of reports to gain insights in to their staff's leave. Reports are divided in to requests that have been approved and those that are pending approval.

An overview of all staff's leave in the upcoming months is used to ensure that all offices will be sufficiently staffed at all times in order to accommodate their clients.

Gantt charts are generated for easy visualisation of leave, to ensure that staff leave doesn't overlap excessively. Leave is colour-coded by base office location to distinguish the different offices.

Additional reports are utilised by the payroll staff to view the paid and unpaid leave used by staff.

Schedules

Cook Costello managers and payroll staff receive regular automated updates of upcoming leave. This ensures that managers can adequately provision for staff out on leave.

Company Response

"We were using a paper based system for our recording and reporting – which not only proved inconsistent, but took up time, space and energy. Engin is easily accessible across our national offices, each team member has their own login making reporting accessible 24/7 from any location...The data analysis is easy and intuitive to use, making it easier to identify and analyse trends in our reporting. Engin will continue to be an invaluable asset to our company due to how customisable it is."
